Wicked Big Meet Details - All Attendees, PLEASE READ

Hello from the Wicked Big Meet '05 Organizers!

We've got a fantastic day of events scheduled for you to partake in and let me tell you, we're as excited as you are!

Please take the time to read through this. There's quite a bit of information you need to know for Saturday!

We have a few things that will help you gain entrance into the event and make the day run smooth.

Schedule:

12:00 to 2:00 food being served (with food ticket only)

12:00 to 3:00 information sessions (1st floor of lodge)

12:00 Subaru Of New England discussion of Tribeca (at SoNE Tent)

1:00 to 2:30 exhaust db meeting (west parking lot)

2:00 Subaru Of New England discussion of STi (at SoNE Tent)

3:00 Set up cars for group photo (west parking lot)

3:45 Shoot photo

4:00 Raffle and awards (in vendor tent)

5:00 Nashoba lodge restaurant & bar opens to public

 

WHAT TO DO WHEN YOU ARRIVE AT NASHOBA

-------------------------------------

Please don't plan to arrive before 11AM! We won't let you in and there's no room to park and hang out before the gates open. Please plan accordingly.

There are going to be two lines of cars when you enter the Nashoba property. A STAFF member (white and red baseball jersey) will be asking cars if they pre-registered or not.

PRE-PAID CHECK-IN

-----------------

The line of cars on the RIGHT is for those of you who have a car full of people that had pre-paid. Please, stay to the RIGHT as you enter as we will be separating out those who pre-paid and those who didn't.

Stay in your car as you enter the property and stay to the right. Drive up to the registration area where you can give your name to the check-in person. For every 'ticket' you purchased on-line, they will hand you:

1 Meal ticket

1 Wrist Band

and

1 Raffle Ticket

(There might be some other surprises at registration too!) ;)

(Example: You bought 2 tickets on-line. You will recieve 2 meal tickets, 2 wristbands, 2 raffle tickets.)

And then the check-in person will cross your name off the list. If you didn't receive an e-mail sent friday morning (This morning) that looks like this, please print out your paypal payment confirmation and BRING IT WITH YOU. We're pretty sure we have everyones names, but with 200+ people, there may have been some snafus. (We hope not!) :)

THE WRISTBANDS ARE YOUR AND YOUR GUESTS ENTRY TO AND FROM THE EVENT! Everyone in your car must be wearing the wristband to be let in. Please put them on and be sure your passengers have them before proceeding through the checkpoint. NO ONE will be let through the checkpoint until you have the wristbands on.

If you bought tickets for a friend that will not be arriving at the same time, YOU are responsible for them getting their materials at Nashoba. The person at CHECK-IN will hand you all the tickets you bought. If they get there before you, they will NOT be admitted until you show up. If you get there before them, then you will be handed all your tickets and they will have to get in touch with you to be admitted. Please let your friends know this. This is done to ensure that everyone who paid for the tickets gets their tickets.

If you do have someone in your car that you did NOT pre-pay for/or did not pre-pay themselves, then you must stay to the LEFT also. They must purchase a ticket to gain entry to the event at the REGISTRATION table. While your friends are buying their tickets, please come over to pre-registration and check in and get your things.

 

BUYING TICKETS AT NASHOBA (Anyone in your car hasn't bought a ticket)

The line of cars on the LEFT is for those of you who have ANYONE in your car that hasn't paid. Please, stay to the LEFT as you enter as we will be separating out those who pre-paid and those who didn't. Those that did not will be pulled out of the line and asked to move to the left and park.

1) Those who didn't pre-pay will go to a parking area on the left, exit their car and proceed to the REGISTRATION table in that area.

2) If you do have someone in your car that you did NOT pre-pay for/or did not pre-pay themselves, then you must stay to the LEFT also. They must purchase a ticket to gain entry to the event at the REGISTRATION table. While your friends are buying their tickets, please come over to pre-registration and check in and get your things.

For every 'ticket' you purchased on-line, they will hand you:

1 Meal ticket

1 Wrist Band

and

1 Raffle Ticket

After everyone is back in your car, please remove your car fromthe registration area and drive it into the main Nashoba area through the checkpoint.

 

WHERE TO PARK

-------------

Drive through the checkpoint where there will be someone checking wristbands. After you go through the checkpoint, there will be STAFF wearing White and red baseball shirts directing parking. Please follow their instructions as they are going to maximize the space available to make sure that everyone we expect can be in the lot. Cars will be parked in rows (not in regualar parking spaces next to each other). It may look funky, at 1st but with the amount of people expected to show up and the limited amount of space, this is the best use of space available. We will give everyone room to walk around the cars, so if you want to show off your bling, no problem. :) We will also be leaving room for cars to pull out and proceed to the PICTURE area in the afternoon.

Note: there will not be enough room to set up tents next to your car, but there will be plenty of shade at this facility. We need room to be kept free for emergency reasons. SO please follow the direction of the PARKING STAFF when you proceed through the checkpoint.

Pretty neat huh? Yes, it's FULL day of events.

 

INFORMATION SESSIONS

--------------------

If you would like to sign up for any information sessions, please let us know at check-in, and they will write you in. As a curteousy to the presenters, please show up 5-10 minutes before start time so they can begin on schedule.

12:00 - Safe Engine Management 101 presented by ECUtek

1:00 - High Performance Engine Building presented by COBB Tuning

2:00 - Getting to Know Rally & Rally-X presented by Tim Penesack

These info sessions are a way of having those who make our cars more fun get in front of us and provide us with sme great information.

 

FOOD/DRINK

----------

There will be a food tent behind the lodge setup with Hamburgers (which are wicked good! the staff have already 'sampled' a couple during the meetings), fries, and other foods for everyone to dine on between 12:00 and 2:00. You were given a FOOD ticket when you entered the property. You will hand it to person in line and you can receive your food. One meal per ticket, no seconds (sorry).

Menu will be as follows: hamburgers, hotdogs, italian sausage, veggie burgers, garden salad, potato salad, fruit salad, cookies.

We will also be provide a golf cart with refreshments that will roam the property for anyone who wishes to purcahse drinks.

After the event is wrapped up (around 5pm) the Nashoba Ski Lodge restaurant/bar upstairs will be open to the public. You're all invited by Nashoba to stay if you wish and have supper or a couple drinks (yes, 21 or over for drinks) and listen to the band that will be playing.

 

WICKED BIG PHOTO

----------------

We did this in the rain in 2002, we're going to attempt it again... with over 2 TIMES THE CARS! Around 3:00 we're going to start lining up cars for the photo depending on COLOR. Depending on how many cars we have during the day and their colors will determine the order of color which is called. So if you hear a staff person calling for a certain car color to go to the Photo lot, this means go and get in your car and follow the staffs instructions to line up your car. Be slow when driving in the lot as we are going to be packing the cars in tightly. There will also be people walking around and getting out of their cars. Watch the staff person to tell you when to stop your car... we're talking inches bumper to bumper here. (Some of you may remember this from 2002... same thing) :)

Also, if you THINK you might have to (or might actually have to) leave when we're lining up cars, then please do NOT bring the car. There'll be no way to get your car out until after the picture is taken.

After the picture has been taken, please get back into your car and move it so others can get their car out. Feel free to park anywhere (in the big lot, where you had it before, whereever) just leave space so emergency vehicles get through. If a staff member asks you to move your car, please do. We need certian areas free for safety reasons.

A big photo of the cars will be available for purchase at a later date on the SUBARUMEET.COM website.

 

RAFFLE & AWARDS

---------------

After the picture has been taken, please get back into your car and move it so others can get their car out. (See above)

Immediately afterwards, we will be giving away the raffle prizes and awards in or around the Vendor Showcase tent.

You will have been given one STANDARD raffle ticket per entry at registration. You will be able to buy additional tickets at the raffle booth, and see the prizes 1st hand! The STANDARD RAFFLE tickets are 1 for $5 and 3 for $10. The PREMIUM RAFFLE, tickets are $10 or 3 for $20. See http://www.subarumeet.com for a complete listing of raffle prizes.

Note: You must be there in person to collect your prize. If you need to leave early, give your ticket to someone (you trust) so they can claim the prize for you! If a ticket number is called, and it's not claimed in a reasonable amount of time, we will call another number! We will not be responsible for lost tickets, and you must have the matching ticket number to collect your prize.

We will also be giving away various awards for peoples cars. So even if you think you may have not won anything, one never knows. ;) Stick around to find out!

That about sums up the details needed for the day. It has been OUR PLEASURE to put this event on for you and are very happy you are planning on attending. We know there's a lot of information to read in this e-mail, but it's there to help this day become a memorable one... the largest Subaru Meet in the North East!
